Terms & Conditions
Please read through the Terms & Conditions and Liability Waiver Agreement before registering for a retreat with Dragonfly Yoga Retreats LLC (“Dragonfly”).
Usage herein of “You, your, yourself” and other second person singular pronouns, etc.., refer to customer or client purchasing retreat. First person pronouns whether singular or plural “we, us, ours, etc.,” refer to Dragonfly.
DEPOSIT
Deposit payment ensures your spot on the selected retreat and counts toward paying retreat tuition. Each retreat will have a deposit, usually $500 or $700; as well as a $35.00 registration fee. This deposit and fee may be paid via Dragonfly’s website. Both the deposit and the registration fee are neither refundable nor transferrable.
SUBSEQUENT PAYMENTS; INVOICES
You will receive an invoice via email up to 30 days before each payment due date. Upon receipt of invoice, clicking on the link in the email “Pay Invoice” will route you to make a payment. If a payment due date is missed, and/or you would otherwise like to cancel your reservation, the Cancellation Policy section below will apply.
When you reserve your spot, please note the payment plan for your retreat. Dragonfly tends to offer a payment plan of 3 payments spread out over a period of time. For example, the first payment is the initial placeholder deposit, and the final 2 payments would each be half of (50%) the remaining retreat balance due post-deposit. Payment dates and frequency will vary from retreat to retreat, so please reference your retreat experience page in order to anticipate the upcoming payment due dates for your retreat. Dragonfly accepts payment by card online, or via cash or check. Online card payments include an additional, variable processing fee. This processing fee is generally 4% to 5 % of the transaction cost and is incurred from the payment processor, with the current average fee for credit cards being 4.2%. Upon receipt of each payment, you will receive an invoice reflecting payment details.
Dragonfly offers scholarships for retreats whenever possible. Scholarship is a reduced retreat price. Feel free to reach out prior to reserving your spot to see if this option exists for your retreat. Should you need a payment plan with different terms than those offered for your retreat, please reach out so we may work together to arrive at a creative option that aligns with both your individual circumstances and our business needs.
ROOMING OPTIONS
Each of our retreats may differ in terms of rooming arrangements and/or accommodations (example: single/private/double/triple room, etc.). The retreat pricing section on our website for your retreat will indicate what room options are (initially) available.
If you prefer to share a room, we will do our best to match you with a compatible roommate. Often, we are successful in organizing shared accommodations, but cannot guarantee that a roommate will arise. If you register for a shared space and no roommate arises, you as the guest will be responsible for paying the supplemental amount due to match your registered accommodation. We will notify you 90 days prior to your retreat with any/your available options.
Friends may room together upon request. Send an email to dragonflyretreatsgb@gmail.com after registering to be paired with your friend(s). If group accommodations are listed as the registration type (example; double/triple/quad), please note we must have a minimum of 4-7 people who have selected group occupancy to offer this option. When registering for a retreat where rooming with a friend is an option, you may fill this information out in the fields provided on the online registration form.
CANCELLATION POLICY
The Cancellation Policy allows Dragonfly to comply with our existing contractual obligations with vendors, in-country travel partners, and respects and accounts for the labor, time, and resources expended in preparing and organizing the retreat. Initial deposit and registration fee are non-refundable.
If Dragonfly should need to cancel or reschedule:
In rare circumstances would we need to reschedule or cancel a retreat. In the event of a cancellation or reschedule on our behalf, we provide a refund of payments made, minus the initial placeholder deposit and any transaction processing fees.
We may need to reschedule due to low enrollment (or other reasons) per our vendor contract requirements. If so, we will refund you for your full paid amount minus any losses we may incur due to unforeseen circumstances that are out of Dragonfly’s control. It is in our best interest to refund you in this type of situation. If we reschedule the retreat, you will be provided the details and option to carry over your paid retreat tuition.
In the unlikely event that Dragonfly cancels a retreat due to weather, natural disaster, epidemic, pandemic, war, terrorism, civil unrest, government restriction, severe weather conditions, transportation disruptions, or other circumstances beyond our reasonable control, we cannot guarantee a refund. Refunds are also dependent on refunds received from costs incurred prior to departure or due to of existing contractual obligations with vendors, in-country travel partners, or venues that we work with to secure the retreat in its entirety. We reserve the right to cancel, modify, or reschedule any retreat or activity, at our sole discretion found, deemed, or rendered, unsafe; or otherwise unavailable due to disturbances, or unforeseen events.
To cover potential risks, we HIGHLY recommend consulting with your preferred travel insurance advisor. Choose a plan that best suits your travel needs.
If you should need to cancel:
Initial deposit and transaction fees are non-refundable and non-transferable. If you cancel six (6) or more months before the start of your booked retreat AND Dragonfly is able to fill your spot, your deposit can be transferred to a new retreat that is within twelve (12) months of your cancellation request. You will be responsible for the $35.00 registration fee on the newly booked retreat. If there is not a retreat available to book, or not one that is of interest to you, the deposit is forfeited. A spot on a future retreat is subject to availability and not guaranteed. This transfer of deposit is one-time and expires one year from the date of the cancellation email. Once you communicate your cancellation, you forego your spot on your booked retreat.
50% of subsequent payments are refundable up to 90 days before a retreat. Refundable amounts do not include applied credits or discounts. Your refund will be based on the tuition price/payment schedule at the time of your registration.
89 days prior to your retreat, retreat payments are non-refundable and non-transferable. Please note that refunds or discounts are not issued for arriving late, leaving early, travel delays, or illness. If you cancel your spot, you forego any refunds, available fund transfers, etc., should the retreat be rescheduled.
If you wish to cancel your spot on your retreat, you must submit your cancellation by email to dragonflyretreatsgb@gmail.com.
TRAVEL INSURANCE
Dragonfly cannot emphasize the importance of travel insurance. Some travel insurance companies require you to obtain a policy within 5-10 days of paying your deposit. You are free to obtain travel insurance from your provider of choice. Options are Allianz Travel Insurance, Travelex, World Nomads, Trawick International and CSA Travel Insurance. These vendors are not affiliated with Dragonfly Yoga Retreats LLC and are simply potential options.
Please note without purchasing a travel insurance policy, you assume 100% of any cost incurred toward a retreat, should a retreat be cancelled or otherwise interrupted. This includes costs associated with airfare, transportation, and any other additional costs incurred during the planning of your trip. Dragonfly is not responsible for researching or communicating any travel or health requirements of the retreat destination or connections during your travels.
LIABILITY
You acknowledge and release Dragonfly Yoga Retreats LLC of any injuries, accidents, death, or losses acquired or incurred before, during, or after participating in your retreat.
MEDIA and DISTRIBUTION
Dragonfly Yoga Retreats allows images or recordings of us to be taken and used for promotional purposes. You allow Dragonfly to use images, or other recordings of you to be used for promotional purposes.
YOUR RETREAT PACKAGE
If you choose to forgo any services included in the retreat package, you do so of your own volition. There are no discounts or refunds for services unused, refused, or undesired. This includes meals, accommodations, excursions, transportation, and any and all other package inclusions as listed on your retreat website. Please keep in mind some activities listed on your retreat website page may cost additional monies and are not built in to the cost of the retreat. If you have not selected such options at the time available/when registering for your retreat, you may not be able to register for them later, for example, an add on such as massage. Some add on options are first come, first served.
When available, Dragonfly offers group ground transportation, however in most instances, you are responsible for arranging transportation to/from the airport/retreat center. If group transport is available, you will be provided with an arrival window and location. To take advantage of this option should it be available, you must arrive within the window provided for such transport. If you are unable to arrive at the location within the window provided, whether due to scheduling choices, flight availability, or flight cancellations or delays, you are responsible for arranging your own transportation and covering any associated costs.
Dragonfly loves and cherishes animals. Although, we do not allow pets on our retreats. In the instance of a certified service animal, you may explore making such arrangements.
